General Conditions

 

Riders must have an appropriate current full drivers licence (DVLA) and / or a current competition licence issued by the M.S.A and / or A.C.U., and are of a minimum age of 18 years old.

All fees due must be deemed "cleared funds" before the event, especially where group bookings are concerned, unless by prior arrangement to PBTD.

ALL MOTORCYCLES MUST MEET CURRENT NOISE LIMITS OF 102DB. MACHINES WILL BE TESTED BEFORE GOING 'ON TRACK' AND RANDOMLY TESTED DURING THE EVENT.

Company cheques are NOT accepted. Unless in extreme circumstances, refunds are not applicable.

All riders will be required to "Sign On" and produce their relative driving licence. NO LICENCE = NO TRACKDAY

Signing on only commences at 7.30am on the day of the event and concludes at 8.30am. Late arrivals may be signed on at the next earliest convenient time. Riders attending 2-day events will be required to sign on each day. Riders must inform us of any medical conditions they may suffer from. All participants will be given a detailed safety briefing (Riders Briefing) prior to being allowed onto the circuit. This is a legal requirement. ‘’New Comers’’ and ‘’Novice’’ riders will also be provided with an additional briefing. All riders will also be informed of any additional arrangements / promotions regarding the event. Participants who have signed on will be identified with a coloured wristband, and their relative motorcycle/s with group identifying numbered adhesive sticker (positioned in a prominent location). An additional sticker will confirm their attendance of the ‘’Riders Briefing’’. All participants must wear the appropriate clothing and safety wear. One-piece leather suits or zipped together 2 piece leather suits, approiate boots (NOT lace up) gloves and approved crash helmets are minimum standards. Back Protectors are strongly advised. Metallic or similar material toe or knee sliders are NOT allowed. 

Circuit Numbers:

The amount of vehicles allowed on the circuit at any one time will be 26 plus 4 Instructors giving a total of 30. All vehicles will be filtered onto the circuit from the holding area in their relative groups as instructed. Yellow flags will be show for the first two laps to ensure both riders and tyres are ‘’warmed up’’. There is no overtaking at this time. A chequered flag will be displayed at the pit lane gantry, which signifies the end of the session.  All participants will then proceed slowly around the circuit and return to the paddock area via the pit lane. There is a strict 5 mph speed limit once exiting from the circuit.

Race Machinery:

The circuit management may not encourage the use of race machinery.  PBTD will accept fellow racers under the understanding that the event is a Trackday and not an ‘’ACU practice day’’ or similar event. Timing equipment (beacons, lap timers, etc fixed to the machine are NOT allowed). Likewise said riders should be aware that different procedures and regulations will apply for this type of event. It is not an excuse to omit from the ‘’Riders Briefing’’.

Circuit Provisions:

The circuit will provide one / two ambulance and paramedic, one fast response fire tender (where applicable) and a chief instructor to assist you at the safety briefings. Riders will have 3 riding instructors per group and a minimum of 3 non-riding staff in attendance. The Red/Yellow/Green coning system will be used. Press / Photographer’s only bona fide press and photographers may act on the organiser’s behalf at trackday events.  They must present their press and/or company accreditation to the duty manager, and sign the appropriate circuit press forms before access to trackside.

EDP Photo news are the Official Photographers for all PBTD events, any additional professional photographers are not allowed.

Spare Parts / Tyres / Accessories:

A&R Racing are the official Spare parts / Tyres / Accesssories suppliers. Tyres may be ordered via STP Motorsport  for delivery and fitment at the circuit. For contact details please see relative page on the web site.

Any additional / private or otherwise sale of motorcycle spares, tyres, bodywork etc (either new or used) and clothing, irrespective of volume or quantity is forbidden. The distribution of leaflets, catalogues or persons deemed ‘touting for business’’ is not allowed. Persons found taking in such practice will be asked to make a donation to the Wales Air Ambulance Fund and immediately leave the circuit.

Catering:

At Pembrey the Formula One Bar/Restaurant will be open for the sale of Food & Beverages from the following times: Breakfast - 8.00am - 11.00am Lunch       - 12.00     - 2.00pm Restaurant Closes at 3.00pm unless otherwise arranged. (See camping/Overnight Stays). The Sale of Food and/or Beverages by any other persons are strictly forbidden.

 

Track Time:

The circuit will be available from 9.00am to 5.00pm for track activities with a one-hour lunch break between the times of 12 noon and 2.00pm.  The venue will be available from 7.30am for organiser’s access, with the venue to be vacated by 6.00pm unless otherwise agreed. 20-minute sessions will be held for each group, but PBTD’s cannot be held responsible for session delays or cancellations caused by rider’s mishaps / accidents etc. During the event PBTD or the circuit may apply additional / deducted time to ensure ‘’fair play’’.

Camping/Overnight Stays:

This can be arranged by prior arrangement. Pembrey circuit is totally out of bounds for mechanically propelled vehicles and a noise curfew is in operation on the whole site which is monitored and enforced by the local environmental health officers between the hours of 5.00pm and 9.00am. It is also imperative that no fire works are displayed due to the very close proximity of the circuit to the sea.  This contravenes local coast guard regulations.

Floodlights / Power Hook-up:

At Pembrey there is no provision on site for either. Customers with Generators are polity asked to respect fellow riders and noise levels, and ensure they are turned off between the hours of 12.00pm and 7.00am.

Passengers:

We generally do not allow the carrying of passengers, unless in extreme circumstances. In said situation then only by a recognised PBTD Instructor or Circuit management.

On Board Camera’s: On board cameras are strictly forbidden.

Spectator Access:

Spectators are normally allowed foot access into the paddock area to use the Catering Facilities etc. For Pembrey spectator’s motorcycles are not allowed in the Paddock Area and must be left outside the circuit. Likewise riders who arrive late will be asked to sign on before bringing machinery/ equipment into the paddock area.

Pembrey Pit Lane:

The pit lane may only be used for Participants returning to the paddock area in the middle of the allocated session Or Participants needing to check their vehicle in the middle o the allocated session or Instructors needing to change vehicles in the middle of the allocated session or Participants needing instructor’s advice or assistance in the middle of the allocated session.

N.B Under no circumstances are spectators, participants and/or their family/friends allowed access to the pit lane at any time.

Paddock Crossing:

At Pembrey the paddock-crossing gate will be opened after each session to allow participants access to and from the paddock area.

Flags Signals:

Flag signals to participants will be given to the international code of flag signals and the applicant is responsible to ensure that all participants in his/her party understand the significance of such flags.  Familiarisation laps will be conducted under yellow flags and strictly NO OVER TAKING!

Overtaking:

This may take place on any part of the circuit, but must be done in a safe and proper manner.

Rider Conduct:

Any participant judged by any of the circuit marshals and/or circuit management and /or PBTD to be riding in a dangerous and/or inappropriate manner will be black-flagged from the circuit and will no take part in any further activities.

Fuel:

At Pembrey No fuel is available on site, nearest fuel Gravel’s of Kidwelly 3mls along A484.

Complaints:

PBTD must be informed of any complaints or grievances either at the event or in righting within a 48 hour time period of the event. Any derogatory representation or comments made public (i.e. E commerce / web forums / E mails) is strictly forbidden and in the event of such material being produced appropriate legal action will be taken. We reserve the right of reply.

Security:

Phil Bevan Trackdays, the Circuit Management, our staff or Instructors cannot be held responsible for any loss / theft / damage to participant’s vehicles or belongings however caused.

Final Rule:

The decision of the circuit management and / or PBTD management is final. Any advice or instruction provided is to be taken as ‘’experience’’ and ‘’of freewill’’. Your safety and enjoyment of the event is paramount. This form is a legal document and contains many detailed terms by which you will be bound. It is your responsibility to read them and make sure you have understood them, before signing.

Cancellation:

The event may be cancelled by circuit management or PBTD management. If in the event of a cancellaltion, refunds of monies paid will be given or a alternative track day may be offered.
